What we collect
When you register a team, the team packet asks for:
- Team details: team name, organization, age division, classification level and travel method.
- Contact details for the head coach, assistant coaches and team manager: names, cell phones and emails, plus the team’s mailing address and phone.
- An emergency contact who is not traveling with the team: name, relationship and phone numbers.
- The name, title and email of the person signing, and their signatures and initials on the packet. The signing service also records when and from what internet address the packet was signed, as part of its audit trail.
- Payment for the entry fee. Card details go straight to our payment processor; Peak Sports never sees or stores your card number.
We do not ask for players’ personal information on this website.
How we use it
To run the tournament: to confirm your registration, contact your coaches, reach your emergency contact if needed, and keep the signed packet on file. We do not sell your information or use it for advertising.
Who handles it for us
- Firma (e-signature): prepares your packet for signing and keeps the signed copy with its audit certificate.
- Stripe (payments): processes your card payment and emails your receipt.
- Resend (email): sends the registration and confirmation emails.
- Cloudflare (hosting): runs this website and stores registration records.
- Sitewise, the company that builds and runs this website for us, receives copies of registrations to keep the system working.
On your device
While you register, your cart and your packet answers are saved in your own browser (local storage and a small cookie named peak_cart) so you can leave and come back. They stay on your device, and clearing your browser’s site data removes them.
Visit statistics
We use Google Analytics to count visits and see which pages are used, so we can improve the site. It sets two cookies, _ga and _ga_3Q7MTRY5V9, which tell visits apart without identifying you by name. We use it for visit counting only: advertising features and Google signals are turned off, and Google keeps this data for 2 months. To opt out, block cookies for this site in your browser, use a private window, or install Google’s opt-out add-on at tools.google.com/dlpage/gaoptout.
Cloudflare Web Analytics also counts page visits for us, without cookies and without identifying you. We do not use advertising cookies.
How long we keep it
We keep registrations for as long as we need them to run the event and for our records, including any legal requirements. Signed packets are kept by Firma with their audit trail.
Your choices
You can ask to see, correct or delete the information we hold about you. Some records, such as a signed waiver, may need to be kept for legal reasons; if so, we will tell you.
